An independent brokerage in BC with 12 agents had no standardized onboarding process. Every new agent joined with their own tools - some using Gmail, some using Outlook, some using personal email addresses for client communication. The broker was spending 4 to 5 hours per new agent getting them set up: creating email accounts, explaining the CRM, chasing compliance documents, and setting up shared drives manually. Compliance document completion was running at 60% - meaning 40% of agents were missing required paperwork. The broker was also managing all of this from her personal Gmail account.

Set up automated compliance reminders - agents with incomplete documents get a daily reminder until all paperwork is complete
Created a shared Google Drive structure for the brokerage - listing documents, transaction templates, marketing assets, and training materials all organized and accessible
Built a Zapier workflow to add new agents to the brokerage's GHL account with the correct permissions and pipeline assignment
Created a monthly compliance audit workflow - automatically checks which agents have upcoming license renewals and sends reminders 90, 60, and 30 days out
Set up Google Workspace security - 2FA enforcement, shared drive access controls, and offboarding workflow for departed agents
